We recommend creating notification rules so that users are kept in the loop about activity between Momentus and Outlook.
To create a notification rule:
- In the Momentus Connect > Outlook page, go to the Notification Settings tab.
- Click Add Notification Rule.
- In the Description field, add a description or name for the rule.
- In the Activities field, select which activities trigger a notification. For more information about each trigger, see below.
- In the Sync Status field, select whether the notification will be sent:
- When the sync is successful: Receive a notification when event additions, updates, or removals are successful in Momentus.
- When the sync fails: Receive a notification when event additions, updates, or removals are not successful in Momentus.
- Both
- In the Email section, add who will receive the notification:
- In the Email Addresses field, you can directly add email addresses. These are people who should receive a notification for every event.
- In the User Role field, select the role which should receive the notification:
- Booking Creator (Momentus): If the event was created in Momentus, the person who booked the event.
- Event Organizer (Outlook): If the event was created in Outlook, the person who created the event.
- Space Owner: Person specified in the Integration hub as the owner for a space. Space owner email must be added in the configuration in order for a notification to be sent.
- Click Save.
You can create as many notification rules as you wish.
Notification Activity Types
Outlook event created
- When an event is created in Outlook, the success or failure to create an event and booking in Momentus will trigger this notification.
- Available for both Enterprise and Elite.
Outlook Event Rescheduled
- When an event date and/or time has changed in Outlook, the success or failure to update the start/end date/time of the booking in Momentus will trigger this notification.
Outlook Event Cancelled
- When an event is cancelled or removed in Outlook, the success or failure to cancel or remove the event and/or the booking in Momentus will trigger this notification. This notification would cover both cancellation and removal or deletion of events from Outlook.
- Available for both Enterprise and Elite.
Enterprise/Elite Booking Created
- When a booking is created in Momentus, the success or failure to create an event in Outlook will trigger this notification.
- Available for both Enterprise and Elite.
Enterprise/Elite Booking Status Updated
- When a booking status is updated in Momentus this notification is triggered. There is no data sync associated with sync status unless it’s confirmed or cancelled. There are additional notifications that’s triggered for those statuses.
- Available for both Enterprise and Elite.
- In Elite, tentative/hold status events have both the status plus a hold rank. A change in hold rank (such as from Tentative 1 to Tentative 2) will not trigger this notification.
Enterprise/Elite Booking Cancelled
- When a booking is canceled or removed in Momentus, the success or failure to cancel or remove the event in Outlook will trigger this notification. This notification would cover both cancellation and removal or deletion of events from Momentus.
- Available for both Enterprise and Elite. Enterprise would have both cancel and delete scenarios. Elite will only have remove scenario (using the ‘X’ icon in event).
Enterprise/Elite Booking Rescheduled
- When a booking date and/or time has changed in Momentus, the success or failure to update the start/end date/time of the event in Outlook will trigger this notification.
- Available for both Enterprise and Elite.
