You are able to send e-invoices directly from Momentus Elite to stay compliant with evolving e-invoicing regulations across supported countries, automatically send and receive e-invoices with secure data exchange, and reduce manual work and errors. Before you send an e-invoice or credit note, check the account's information. Confirm that:
- A country code is selected
- There is a valid tax ID with Scheme ID and ICD Value.
- There is a valid email.
- If the recipient is in the Netherlands or Sweden, confirm the secondary tax ID has been added with Scheme ID and ICD Value:
- The Netherlands (KVK)
- Sweden (ORGNR)
Send an E-Invoice
To send an E-Invoice from Elite:
- Create the invoice as usual in Elite.
- Send the invoice
- To send an e-invoice through the PEPPOL network only, click Mark as Sent.
- To send an e-invoice through the PEPPOL network and also email a PDF version of the invoice, click the envelope icon and send the invoice as usual.
- The integration is triggered and the invoice is converted and sent. The E-Invoice Status updates to In Progress.
- Once sending is complete:
- A PDF version of the document is created as usual and stored in Elite, accessible on the invoice slider.
- The Storecove ID is added to the Invoice slider, the E-Invoice Status updates to Received, and a note is added to the E-Invoice Notes field.
- The e-invoice Peppol file is added to the Invoice slider. This document is in XML format.
- You can search for the invoice by the Storecove ID in either the global search or the keyboard quick search.
The exact time it takes for an invoice to be sent and delivered typically depends on the destination network and receiver’s infrastructure. Delivery is usually fast (often within minutes), but this can vary.
If you don't see an invoice note or document appear after a reasonable amount of time or if the E-Invoice Status updates to Failed, check the integration activity log in Momentus Connect. Navigate to Momentus Connect, click More Information on the integration and go to the Activity Log tab.
In the Connect Activity Log you can view a detailed log of all activity, including error messages. Click on the error message to view details; often the error message will let you know why the invoice couldn't send (such as missing data or invalid mapping), allowing you to correct the issue. You can then trigger a resend by marking the invoice as unsent and then sent again.
Send a Credit Note
To send a credit note, create the credit as usual and allocate it to an invoice. The credit note will be sent through the PEPPOL network.
- The Storecove ID is not added to the Credit slider at this time. To confirm the credit note has been sent, check the Connect Activity Log.
- A PDF version of the document is created as usual and stored in Elite, accessible on the credit slider.
- The credit is reflected on the Invoice slider. The invoice will not re-send and the invoice Peppol file will not update.
- A warning displays on the invoice slider that the invoice document is out of date. Click the warning to update the PDF. You can then send the PDF to your client for their records if you wish.
