Once Momentus has set up your OneView account and connected the venues, the Portal Admin on your account will receive an email from Microsoft to set up their user account. Once their user account is set up and they can access the OneView, they will need to configure OneView so it is ready to share with others users.
To configure OneView:
- For each venue, decide who will be responsible for deciding which spaces/rooms will be available in the calendar. This is usually a system admin at the venue.
- Create a user for each of those people. Assign them the Venue Manager permission and select their venue as their venue portfolio.
- See Manage OneView Users for more information and instructions.
- The venue managers log in and create venues to represent their venue, selecting the rooms/spaces to make available and adding external-facing names if needed.
- See Manage Venues for more information and instructions.
- While the venue managers are creating venues, map references so that data from different accounts and applications appears consistently in the calendar.
- See Manage References for more information and instructions.
- Once the venues are created, create User Group Templates. These can be created to more easily assign a pre-defined set of permissions for venues.
- See Manage User Group Templates for more information and instructions.
- Once the groups are created, add general users, assigning them to the correct group so they have access to the correct venues, or adding individual venue permissions as needed.
- See Manage OneView Users for more information and instructions.
- If the venue managers should be able to view events on the calendar, assign a group to each one or add individual venue permissions as needed. Edit the user to assign a group or venue permissions, or assign a group to multiple users at once.
- See Assign a User Group Template to Multiple Users for instructions.
We have created an Excel template to help you gather the information needed to configure OneView. You can access it here to create your own copy. Excel templates cannot be opened in the web version of Excel.
